Custom Event Planning Software: A Case Study

Overview

The client has been in the event industry for 25+ years. Through the client's experience, they have identified several pain points in the industry that usually go ignored. For instance, most platforms do not facilitate a streamlined communication between event planners and venues/suppliers, which creates a time-consuming problem. The client wanted to focus on helping planners be more productive, organized and encourage collaboration between venues/suppliers and planners while having planners retain more control over the process.

The Problem

The client decided to address the challenges surrounding the difficulty of communication and collaboration between planners and venues/suppliers. From their familiarity with the industry, they observed that most planners input information in an excel sheet, which they then send to the venue/supplier who also make adjustments to the data. This process of manually inputting details in a spreadsheet can leave room for human error. The client gathered that event planning software isn't really scalable/integrated, and believed event planning should be streamlined and cloud-based.

As such, the client's product is poised to become a system that provides event planners and venues/suppliers with the ability to manage event logistics and data in the cloud in a collaborative manner. In the future, the client also envisions adding many more event tools such as CRM, task management, budget, sponsorship management and more.

The Solution

The client did copious amounts of research before approaching Chetu to ensure he brought his idea to the highest, most certified software development company who could understand and fulfill its potential. Chetu drew on its vast experience developing and integrating custom planning software to create a database that:

  • Satisfies the need for a marketing portal by creating one in WordPress with relevant plugins and databaseon a cloud server.
  • Satisfies the need for data and event management through a web application that provides different forms to manage unique users and events data.
  • Satisfies the need for sharing and managing documents with Dropbox integration.
  • Satisfies the need for email notifications by choosing to integrate Mandrill API to do email notifications in a way that the client can easily change/control the template of the email, as well as the wording.
  • Preserves the one-point shop by seamlessly integrating the marketing and web applications to deliver functions with the best of both worlds.
