This client is a premier buyer, seller, and appraiser of U.S. and foreign coins, old currency and coins, precious metal bullion, jewelry, luxury watches, fine wine and vintage liquor, sports memorabilia, military collectibles, and more.

Our client sought out Chetu's expertise in software development to produce a new application for salespeople and managers in the company’s four locations. They wanted the developers to maintain the core functionalities of their previous application and add new features to streamline the whole process.

The Approach

Our approach started with understanding the requirements, existing application flow, and database schema. Our team then proposed an ERP system, Odoo, to improve the application's overall user experience, performance, and utility.

We covered several existing functionalities, from customer registration to creating transactions for different types, audit trail, reporting, and an admin module. We started with using the PostgreSQL database to represent various predefined tables. We used Excel files and images to prepare the master catalog.

We imported the data onto the Odoo platform and identified categories like scrap metal, bullion coins, commemorative coins, and collectible coins. All files are divided into categories like categ-1, categ-2, and categ-3. We created tables in Odoo for these fields and linked them on the master catalog page. We wrote a Python script to generate an Excel sheet compatible with the Odoo import feature, and we used the file to import/create products into Odoo.

How It Works

There are six modules to navigate through: Customer, Transactions, Reports, References, Change Logs, and Admin.

We started with the customer module first. The registration asks for basic information such as a customer's full name, contact information, username and password, DOB, gender, preferences (favorite products, categories), payment information, and marketing preferences.

The customer tab allows one to edit, add, or delete a new customer when they enter the system. If they are new, they get a new profile. If they are returning customers, the employee can search the database by clicking the search tab in the customer record. After hitting the search button, a customer popup will appear where we can filter the existing customer.

Through Successful ERP Implementation

In the transaction section, various buttons serve different functions, such as creating new transaction records, saving records, sending reviews via email, Google, or text, manually unlocking records, and deleting records. Additionally, there are options for navigating through records, including the "First," "Next," and "Last" buttons.

Users can also utilize the "Quick Quote" button within the transaction interface to search for products and view their prices.

After completing a transaction, users can access its details, which are then redirected to the associated purchase order for further reference or action. These functionalities streamline transaction processes and enhance user efficiency within the system.

Inventory management includes adjustments, cost/value adjustments, physical counts, and QC reports. Melting processes are detailed, addressing the issue of allocating funds from smelting transactions.

The admin tab is exclusive and deals with flagged transactions, bank balances, and permissions; the references module provides instructional documents, while change logs allow users to track system modifications manually.
