Project Solution

Chetu designed a multi-tenanted, cloud-based HUCM application to help human resource departments manage employees.

The Client

Our client, a HUCM software company, helps businesses save costs and time by reducing manual tasks and automating processes. Their tools help human resource departments in different organizations increase the efficiency of their management procedures while remaining compliant, benefiting the overall organization.

The client sought Chetu out to design an application their customers could use to fulfill a wide variety of functions regarding employee information in their human resource departments. First, the application needed to be able to track employee histories, skills abilities, salaries, and accomplishments. Second, it needed to be able to gather, store, and access employee information. Finally, it needed to be able to keep records of employee attendance, payroll, tax deductions, and benefits.

The Approach

Design and Structure

In designing the application, we first established expectations and necessary functionalities. We implemented multi-tenancy functionalities so the application would be usable by various organizations internationally, established UI and role-based functionalities, and developed specific APIs to facilitate interaction between different modules. We also designed the application to allocate a new database for each new tenant.

The application structure included two main modules. First, an admin module managed by our client and used for loading new customers, setting up configurations, and other features including IT. Second, individual customer modules, broken down into company, recruitment, HR/Admin, payroll and tax categories equipped with their own individual functions. Additionally, integrating submodules with third parties such as Oracle PeopleSoft would facilitate functionality.

Application Development

Within the admin module, we established a process for new customer setup, performing a series of integrations to ensure initial configuration of the application would run smoothly for each user. As part of a 10-step procedure, we performed integrations with access and clock devices and API to enable database updates and tax entity integration. Finally, we integrated Oracle PeopleSoft into the customer module to enable payroll integration and eliminate manual payment processing.

Then, we identified which roles and functions would occur in each submodule within the customer module. To test the solution, we created a prototype UI, established overall workflow logic, and validated our prototype. After establishing the flow architecture between the recruiting, HR/Admin, payroll, and tax modules and determining how they would interact with users, the admin module, and backend software, we were able to develop the final solution.

We staged and produced the application in the AWS cloud services environment. For example, we modeled database allocation using AWS RDS and used AWS Route 53 and DNS services to ensure seamless user access for each module. The final solution was customizable, scalable and cloud-compatible to support flexibility and adaptation.

The Impact

Ultimately, the application was designed to provide the client’s customers with timely, accurate, and dependable information to support informed decision-making, policy framing, and analysis for HUCM. Enhancing human resource management of procedures including employee recruitment, performance, wages, attendance, holidays, and payroll, the application provided a customizable and flexible solution to boost HUCM efficiency, and ultimately helped the client achieve their goals.

With in-depth design strategies, application development, Oracle PeopleSoft integration and more, we were able to create a cloud-based HUCM application to streamline and simplify processes, improving accessibility, compliance, efficiency, employee experience, integration, and data security in human resource management.
