McDonald’s, the world's largest fast-food chain, operates over 40,000 store locations across more than 100 countries, generating annual revenues exceeding $25 billion (2024). Known for its convenience and incredibly fast service, McDonald’s is a global icon, serving millions of customers daily.

Behind the Golden Arches are complex needs that come with managing a large workforce, spread across so many regions and legal entities.

Through our partnership with a leading HR management provider, we delivered workforce solutions that keep its operations running smoothly and at scale.

McDonald’s relied on manual processes to transfer employee data from its eRestaurant (QSR Soft) platform into UKG Ready. For every new hire or update to employee data, the information had to be manually exported and imported, taking over four hours per location.

The process was time-consuming, prone to errors, and posed security risks. There were multiple Employer Identification Numbers (EINs) across different regions, making it even more daunting to manage data. HR struggled to keep up.

The turning point

This is where we came in. McDonald’s needed a solution that was not only better, faster, and more secure, but one meant for an enterprise. The manual processes had to go, and we were the experts to make that happen.

The goal was clear: automate data transfers, reduce manual efforts, and enhance security measures.

Our skilled approach

So, how did we approach a process that is both complex and has global operations at stake? We developed a solution that could handle McDonald’s operations while simplifying the workflow as follows:

  1. First, we created a smart configuration file that linked each McDonald’s location to the correct EIN. This meant that employee data always landed in the right place, in other words, no more errors! Whether a franchise owner had one EIN or several, our solution could handle it.

  2. We then automated the entire new-hire-data transferring process. With this, every new hire added to the eRestaurant app would automatically and instantly be synced to UKG Ready as well. Automating this process cut down on hours of manual work and reduced errors significantly.

  3. The application also sent an email alert to administrators to confirm successful migrations or to notify them of any issues encountered throughout the process, ensuring that the process went smoothly and allowing the organization to address any potential challenges before they escalated.

  4. Lastly, to ensure data security and integrity, we set up the program to store all data extracted from the eRestaurant application in an AWS S3 bucket before being processed. This added an extra layer of protection.

The measurable impact of automation

The results speak for themselves. With an automated process, what once took over four hours per location to complete manually now takes just 30 minutes. This freed up significant time, leading to cost savings due to reduced labor hours, increased security measures, and minimized errors.

Note that this reduction was per location. Across McDonald’s 40,000+ global locations, this translates into millions of dollars in annual savings, not to mention countless hours that could be allocated to priority items.

With seamless data transfers and error-free mapping, employee data landed right where it had to. This level of accuracy strengthened McDonald’s compliance, ensuring it met regional legal regulations and avoided costly penalties across its operations.
